Setup Guide: Connect CRM Canvas to HubSpot

Get started in under 5 minutes. No IT team required.

Prerequisites

  • A HubSpot account (Free, Starter, Professional, or Enterprise — any tier works)
  • Admin or Super Admin access to your HubSpot portal (needed to authorize the OAuth connection)
  • A modern web browser (Chrome, Firefox, Safari, or Edge)

Step 1: Sign Up for CRM Canvas

Visit crmcanvas.app and enter your email address to create your account. You can start with the Free tier (50 maps per month) or purchase the Lifetime Pro plan ($99 one-time) for expanded limits.

Step 2: Connect Your HubSpot Account

Navigate to the Connect page and click "Connect HubSpot." You'll be redirected to HubSpot's official OAuth authorization screen.

What Permissions Are Requested

CRM Canvas requests read-only access to the following data:

  • Contacts — Names, emails, titles, and properties
  • Companies — Company names, domains, and properties
  • Deals — Deal stages, associations, and amounts
  • Owners — Which rep owns each contact/deal
  • Email activity — Email subjects, timestamps, and engagement (read-only)

CRM Canvas cannot create, update, or delete any records in your HubSpot account.

Security note: CRM Canvas uses HubSpot's official OAuth 2.0 flow. We never see or store your HubSpot password. You can revoke access at any time from your HubSpot Settings → Integrations → Connected Apps.

Step 3: Select a Company

After connecting, you'll see a list of companies from your HubSpot portal. Select any company to begin generating AI-powered relationship insights.

Step 4: Generate Contact Dossiers

CRM Canvas uses AI to analyze all contacts associated with the selected company — their email history, deal involvement, engagement patterns, and more. For each contact, it generates an executive dossier covering:

  • Role and influence level in the buying process
  • Communication patterns and engagement frequency
  • Key topics discussed and concerns raised
  • Relationship strength assessment
  • Recommended next actions

Step 5: Generate a Relationship Map

After reviewing dossiers, select the contacts you want to include and generate a visual relationship diagram. The AI creates a map showing:

  • Stakeholder relationships and influence flows
  • Deal coverage gaps (who you're not talking to)
  • Champion vs. blocker identification
  • Reporting lines and decision-making dynamics

Disconnecting CRM Canvas

You can revoke CRM Canvas's access to your HubSpot account at any time:

  1. Log in to your HubSpot account
  2. Go to SettingsIntegrations Connected Apps
  3. Find CRM Canvas and click Uninstall

Once disconnected, CRM Canvas can no longer access your HubSpot data. Any previously generated dossiers or diagrams stored in your browser session will also be cleared.

Troubleshooting

"Unable to connect" error

Make sure you have Admin or Super Admin access in HubSpot. Standard users may not have permission to authorize third-party apps.

No companies showing after connection

CRM Canvas fetches companies from your HubSpot portal. If your portal is new or empty, you'll need to add companies and contacts in HubSpot first.

Dossier generation is slow

Generation time depends on how many contacts and emails are associated with the selected company. For contacts with hundreds of emails, generation can take 30-90 seconds per contact. This is normal — the AI is processing your full email history to produce accurate insights.
